Calendar Sync
Getting Started

What is Calendar Sync?

Calendar Sync uses AI to find hotel stays in your calendars, match them to hotels in our database, and present them in your Inbox for review before adding to your travel log.

How do I set it up?

  1. Go to Settings > Calendar Sync.
  2. Under Import from Calendar, turn on Sync from Calendar.
  3. Grant Full Calendar Access when prompted.
  4. Tap Calendars and select which calendars to sync.
  5. Tap Sync All Calendar Events to run your first sync.

Which calendar apps are supported?

Any calendar that appears in the Apple Calendar app works, including iCloud, Google Calendar, Outlook, Exchange, and any CalDAV-compatible calendar.

How It Works

What happens when I sync my calendar?

Awaybook fetches events from your selected calendars, filters out non-hotel events (meetings, flights, birthdays, and so on), and uses AI to identify hotel stays. Matched stays appear in your Inbox for review. The process typically takes a few seconds.

How is my calendar data handled?

Awaybook is designed to minimize the data that leaves your device:

What is the Inbox?

The Inbox is where detected stays land before they’re added to your log. Open it from Settings > Calendar Sync > Inbox, or tap the banner on your stays list. For each stay, you can:

If an item shows No hotel match, tapping Add opens the Custom Place sheet where you can create a custom place entry. You can also tap Add All to add all matched stays at once.

Does it extract check-in/check-out times and confirmation numbers?

Yes, when available in the event title or notes. If times aren’t found, Awaybook defaults to 3:00 p.m. check-in and 11:00 a.m. check-out. You can adjust these after adding the stay.

What’s the difference between Sync Now and Sync All Calendar Events?

Sync Now checks for new or updated events since your last sync. Sync All Calendar Events syncs your entire calendar history. Use the latter for initial setup or if you think something was missed.

Does Awaybook sync automatically?

Yes. When Sync from Calendar is turned on, Awaybook checks for new events when you open the app and periodically in the background. For background sync to work:

Will the same stay be added twice?

No. Awaybook tracks processed events and updates existing Inbox items instead of creating duplicates. Items flagged as Duplicate warn you if a matching stay already exists in your log.

How do I import older stays?

By default, your device may only sync recent calendar events. To make sure past events are available, go to Settings > Apps > Calendar > Sync and select All Events. Then run Sync All Calendar Events in Awaybook.

Troubleshooting

Why aren’t any stays being found?

What if my hotel isn’t found in the database?

The stay still appears in your Inbox with a No hotel match label. Tapping Add opens the Custom Place sheet, where you can create a custom place entry by searching for its location on the map. Awaybook supports more than 150 hotel chains. To request a new one, email frontdesk@awaybook.app.

Why was a stay matched to the wrong hotel?

This can happen when a calendar event has limited information, for example, just a city name without the full hotel name. You can tap Skip to dismiss the incorrect match, then re-add the stay manually.
